Written in plain words for coaches and authors who got an email from us or sent us a brief.
Version 2026-10-16 · applies to emails and to this website
The short version. If I wrote to you, your name and email came from your own public website or your public podcast or author page. I use them for one short business proposal and at most two follow-ups, and to answer you. Reply "no" and I never write again. Nothing is sold, shared for marketing, or added to a newsletter.
Who is responsible
REELDESK is a service of J-2 Solutions Group sp. z o.o., ul. Diamentowa 14, 55-095 Kamień, Poland (KRS 0001176514, NIP 8961652989), the data controller under the EU General Data Protection Regulation (GDPR). Contact for anything in this notice: pawel@influencecipher.com.
What we hold and where it came from
If you received an email from us: your first and last name, your business email address, your website, your city or state, your niche, and the titles of two or three things you have published (a post, an episode, a book). All of it comes from pages you made public yourself: your website, podcast page, author page or a public interview. We never buy lists and never guess addresses.
If you sent a brief through the form on this site: the answers you typed (site or handle, email, name, style, voice, goals, plan, notes). The form is delivered to our mailbox by FormSubmit.
If you write to us: your messages and our replies, kept in the email thread.
If you become a client: in addition, invoicing details and payment records (card numbers are handled by the payment processor, never by us).
Why, and on what legal basis
One business proposal and follow-ups to a coach or author who publishes content: our legitimate interest in offering a service to businesses, based on what they already publish (GDPR art. 6(1)(f)). We balance this by writing once, following up at most twice, keeping the message short, and stopping the moment you say so.
Answering you, the free week, and paid plans: steps you ask for before a contract and the contract itself (GDPR art. 6(1)(b)).
Invoices and accounting: legal obligations under Polish tax law (GDPR art. 6(1)(c)).
No automated decisions are made about you and no profiling takes place. We do not use your data for advertising and we do not pass it to anyone for their marketing.
How long
Outreach records: deleted or anonymised twelve months after our last contact. If you reply "no", we delete everything except your email address, which stays on a do-not-contact list so we never write to you again.
Briefs and conversations: for as long as needed to deliver what you asked for, then twelve months.
Client and invoicing records: for the period Polish accounting law requires (currently five years from the end of the tax year).
Who else processes it
Only service providers we need to run the service, under contracts that bind them to use your data solely for us:
email hosting and sending: home.pl (Poland) and Google (Gmail);
this website: Cloudflare Pages; Google Fonts loads the typefaces (your browser sends its IP address to Google when it fetches them);
the brief form: FormSubmit (delivers your answers to our mailbox);
payments, when you pay for a plan: the payment processor named on the payment page;
production tools used to write, voice and render your reels receive the content of your brief and your brand details, not your contact details.
Some of these providers are based in the United States. Transfers rely on the EU-US Data Privacy Framework where the provider is certified, and otherwise on the European Commission's standard contractual clauses.
Your rights
You can ask us at any time to see what we hold about you, to correct it, to delete it, to restrict how we use it, to receive a copy in a portable format, and you can object to the legitimate-interest processing described above. The simplest way is a reply with one word: no. We act on it the same business day and in any case within ten business days. You can also complain to the Polish supervisory authority (Prezes Urzędu Ochrony Danych Osobowych, uodo.gov.pl) or to the authority in your own country.
If you are in the United States: our emails follow the CAN-SPAM Act. Every message shows who sent it, a truthful subject line, our postal address, and a way to opt out; opt-outs are honoured within ten business days, in practice the same day.
